Privacy Policy

AcademicX Campus (“AcademicX”, “we”, “us”) runs academicx.in, an online learning platform for JEE, NEET and Foundation students, their parents, their teachers and partner schools. This policy explains what personal data we collect, why, who can see it, and the choices and rights you have, including under India's Digital Personal Data Protection Act, 2023.

Many of our students are under 18. Where this policy says “you” for a student under 18, it also means their parent or guardian.

1. What we collect

Account details: name, email address, phone number (optional), role (student, parent, teacher, school staff), your school and class/grade, and which parent accounts are linked to which student.

Learning records: courses and batches you are enrolled in, live-class attendance, lectures watched, practice problems (DPPs), test answers, scores and time taken, written answer sheets your school uploads for evaluation, and lessons marked as taught to your batch.

Exam integrity data (proctored tests only): when a test is proctored we record if you leave full screen, switch tabs or press blocked keys. With your permission we also use your camera to check that someone is in front of the screen. This check runs inside your browser; video is not recorded or streamed. If no one is seen for longer than a short grace period, one still photo is saved with the test record. If you don't allow the camera, you can still take the test; it is marked “Unsupervised”.

Payments: fees are paid through Razorpay. We receive the order and payment reference, amount and status. We never see or store your card, UPI or bank details.

Live classes: classes run on Zoom and may be recorded. Recordings are stored by us and shown only to students of that batch and their teachers.

Technical data: a sign-in cookie that keeps you logged in, and standard server logs (IP address, browser type, time of request) kept by our hosting and security providers. We do not use advertising or analytics trackers.

2. How we use it

  • To run your classes, tests, practice and progress dashboards.
  • To show progress reports to you, your linked parents and your teachers, and to your school if you study through one.
  • To keep tests fair (the exam integrity data above) and to investigate a flagged test.
  • To take payments, issue receipts and handle refunds.
  • To answer your questions and send notices about your account, classes and tests.
  • To improve our teaching content, using records in aggregate.

3. Who can see your data

  • You, and for students, linked parents/guardians.
  • Your teachers, for the batches and subjects they teach you, including the exam integrity data and photos for your tests.
  • Your school's principal and staff, if you are enrolled through a school, for students of that school.
  • AcademicX's academic and support team, who need access to run the platform.

We do not sell your personal data and we do not share it with advertisers.

4. Service providers we use

We use these providers to run the platform. They process data only on our instructions:

  • Neon: our database (servers in Singapore).
  • Cloudflare: website security, content delivery and file storage.
  • Hostinger: web hosting.
  • Razorpay: payments.
  • Zoom: live classes and recordings.
  • OpenAI: AI features. When your school uses AI evaluation, your written answer sheets are sent for marking (teachers review the marks before results are published). Short feedback after a test is generated from your score summary, without your name.
  • Microsoft: displays lesson slide decks in the browser. Slides contain teaching material, not your personal data.

Some of these providers process data outside India, for example in Singapore or the United States.

5. Children's data

Accounts for students under 18 are created by, or with the consent of, a parent or guardian, or by the student's school under its arrangement with parents. We use children's data only to provide education, do not track them for advertising and do not profile them for marketing.

A parent or guardian can review their child's records through a parent account, or contact us to correct or delete them.

6. How long we keep data

We keep your account and learning records while your account is active, and afterwards only as long as needed for academic records, to resolve disputes, or as the law requires (for example, payment records for tax purposes). Exam integrity photos are kept with the test record they belong to. When data is no longer needed we delete or anonymise it.

7. How we protect it

  • All traffic to academicx.in is encrypted (HTTPS).
  • Passwords are stored only as secure hashes, and you are signed out everywhere when you change your password.
  • Each person sees only what their role allows, and private files (photos, recordings, answer sheets) open only through short-lived links after an access check.

8. Your rights

You (or a parent/guardian for a child) can ask us to:

  • tell you what personal data we hold and how it is used;
  • correct or update inaccurate data;
  • delete your data, unless we must keep it by law;
  • withdraw consent you have given (some features, such as proctored tests, may then be unavailable);
  • nominate someone to act for you if you are unable to.

9. Grievances and contact

10. Changes to this policy

We may update this policy. We will change the date at the top, and tell you in the app about any significant change.
